By attending a meet or event hosted by us you're agreeing...

 

Acceptable behavior policy

 

We know that the car scene has a great community. And we know the majority are well behaved.  As an event there are expected outcomes  in terms of driving, behavior and respect etc. We will report any actions that jeopardises the ability of the event to run again or impacts our ability to keep all attendees safe.

Organisers abode by the WA Events Guidelines 2022 (WA HEALTH ACT) and local government bylaws and WA Criminal codes.

 

Below are following guidelines you agree to when attending any event, we host, or we attend.

By attending any meets relating to VCMPerth Events – BGMM or displaying at any of our events you are agreeing to the above acceptable behavior as well as these terms...

You must respect the organisers and other people attending the event, avoid bullying, abuse, or rude remarks to other people in attendance.

 

You must drive with due care and not participate in any anti-social driving or commit any driving or parking offenses.

You will not be able to hold organisers, staff, volunteers, BGMM, or any persons associated with the event responsible for loss, theft or damage to public or personal property, nor will we cover legal fees if you choose to claim via any insurance in place.

 

If you are asked to leave, due to antisocial behaviors, police or security staff direction or by management, providing it is safe to do so. You will do so immediately. If appropriate or directed to do so by police, an incident report will be recorded and kept on file for 2 years. Your details if known, any images of the incident including your image, will be retained for legal use and be made available to police, legal representatives of all parties involved and insurance underwriters, also retained for 2 years from the date of the incident. This is an insurance requirement.

 

You must ensure you are aware of any limitations, guidelines or important information set out by the landowners, event organisers or any persons hosting.

 

You are personally responsible for ensuring you follow the guidelines we have set out to create a safe, legal, and fun meets and events for all those interested.

 

You must not attempt to display banners, flags or any other promotional items for another event, community or business unless this has been agreed upon prior to the event.

 

You must not attempt to complete/ undertake any mechanical work within the event area.

 

You must NEVER leave your children unattended within the event space or in your car or display area. 

 

By sending your payment/application/registration for any shows or events which require money to be exchanged, or booking yourself onto an event, or by attending any of our events you’re agreeing that you’ve read this before submission and have read this whole document and agree to the terms set by the event and the event organisers!

 

You are agreeing that any damage to your car or personal injury is the responsibility of yourself.

 

You understand that VIP members have priority for event tickets.

 

You agree to arrive at the requested times and/or cut off dates, or you may be turned away due to safety reasons. Non-movement of vehicles on event site during safety briefing, held 30mins before the event start time. This is a legal compliance requirement as part of our event approval. There is no refund if you arrive late all fees are forfeit.

 

 You are giving us permission to photograph and video your car, where your number plate may be on display. You are also agreeing that all content can be used for promotional purposes to the event and will be displayed publicly on our social media accounts and website, these photos may on occasion include faces.

 

You give us permission to use any images or videos taken at these events, be it for display purposes or promotional purposes, without compensating you. These photos will not be removed if you leave the event (With exceptions of photos including faces - which can be removed upon written request) you will need to supply Hyper links to the image for online sites for removal.  We are not responsible for finding images on your behalf. Where your image was taken by a third party / a public venue/ WA laws apply.  we are not responsible for the removal of the image.

 

 All payments (if applicable) are non-refundable.

 

Payments are made online through the application / registration form at the time of application. If unsuccessful, a refund is issued by SQUARE (the payment portal not the organizer) to the account in which you paid. Organisers cannot see your account / card details in any part of the application process. NO other form of refund or credit is offered. Some forms have admin fees applied where application is rejected due to applicants’ error in uploading the correct files and or in the event of a frivolous application. I.e., where the applicant is identified as a previous applicant who does not show or request to cancelation more than one occasion in the last 12 months. (Regardless of reasons given) NO refund will be given.

 

 IF WE ARE ISSUING TICKETS or CONFIRMATION email: When confirming your booking we will NOT check your address (spelling errors on email addresses) to make sure we have the correct one down for sending tickets to! (Often, we won’t send the tickets until a week before the event) we won’t be held responsible if the ticket gets sent the wrong place, thus no refund! So please make sure you give us the correct information.

 

 Each event has its own set of guidelines and rules for people attending to follow, it's down to you to ensure you've read up the official event rules. Often these guidelines will tell you what you can and can't do, bring, and access and exit areas.

 

We reserve the right to revoke any tickets/bookings at any given time.

 

 Admin fees apply to refunds.

- Covering any transactional fees, we pay

- Covering the costs of creating your booking

- Staffing time to process refunds

- rebooking fee to replace you space at short notice.
